Privacy policy

How we look after the personal information you share with us.

Who we are

United Action Charity Trust (UACT) is a charitable incorporated organisation registered in England and Wales, charity number 1206312. We are responsible for the personal information described on this page.

What we collect and why

  • People we help: your name, contact details, the language you prefer, what is happening in your situation, and any documents you choose to share — so that we can advise and support you
  • Some of this may be sensitive, such as health or immigration information. We only use it to help you, and with your agreement
  • Donors: your name, contact details, donation details and Gift Aid declaration — to thank you, claim Gift Aid and keep the records HMRC requires
  • Volunteers: your contact details, skills, references and checks where a role needs them

Our legal reasons

Under UK data protection law we rely on your consent, our legitimate interest in running the charity, our legal obligations (for example Gift Aid records), and — in an emergency — protecting someone’s life. For sensitive information we rely on your explicit consent, or on the need to protect someone from serious harm.

Who we share it with

  • Only people you ask us to contact for you — for example a council, a GP or an immigration adviser
  • Without your permission only if someone is at serious risk of harm, or the law requires it
  • Stripe, which handles online donations. Stripe processes your card details under its own privacy policy; we receive only what we need to record your gift — such as your name, email address and the amount — never your full card number
  • Netlify, which hosts this website and, like any web host, briefly keeps technical logs such as IP addresses to keep the site secure
  • We never sell your information or use it for advertising

How long we keep it

We keep information only for as long as we need it. As a guide: case records for 6 years after our last contact with you; donation and Gift Aid records for as long as HMRC requires; volunteer records for 2 years after you stop volunteering. After that we delete them securely.

Keeping it safe

  • Information is stored on password-protected devices and accounts
  • Only the people who need it to help you can see it
  • Our team is trained to handle personal information carefully

Your rights

You can ask to see the information we hold about you, to correct it, to delete it, or to limit how we use it. You can withdraw your consent at any time. Email helpline@uact.org.uk and we’ll reply within one month.

If you’re unhappy with how we’ve handled your information, please tell us first. You can also complain to the Information Commissioner’s Office (ICO).

This website and the helper

We don’t use advertising or tracking cookies. If you choose larger text, your browser remembers that on your own device. Our fonts are loaded from Google Fonts.

Only if you allow it, the UACT helper remembers which answers helped you, so it can suggest them faster next time. This is stored only in your own browser — we never receive it. You can clear it at any time with ‘Clear what the helper remembers’.

If you use the microphone to speak a question, your browser’s own speech service (for example Google or Apple) turns your voice into text. This only happens when you press the microphone, and we do not receive any recording.

If you choose to send us a question from the helper, it opens your own email. Please write only the question — no names, addresses, documents or photos.
